In short: that means buying or sourcing B2B contact data that is accurately matched to your ideal customer profile and guaranteed valid. It means testing your current email deliverability and technical setup, using trusted mailboxes like Microsoft 365 or Google Workspace, warming domains through genuine business communication, keeping tracking to a minimum and sending emails that are uniquely relevant to every recipient.
A beautifully written email will fail when it is sent to an expired mailbox or to a generic company address (info@, sales@) or to a Gmail/Hotmail/Yahoo email address, when the sending domain has poor authentication, the mailbox has no credible history or the message contains the same HTML, tracking and links as the rest of the bulk emails.
Google, Apple, and Outlook now place explicit requirements on authentication, sending behaviour, spam complaints and unsubscribe handling. Google demands that senders build volume gradually, avoid sudden bursts, monitor domain reputation and keep user-reported spam below 0.1%, never allowing it to reach 0.3% (Google Support). All require bulk senders to always authenticate with SPF, DKIM and DMARC.

The contact must match the campaign’s ideal customer profile. The named person must still work for the company. Their current responsibilities should match the job function being targeted, and the email address must have been validated recently enough to be still trusted. Its not just when a contact changes employer. When Thomson Reuters acquired the global B2B events specialist FC Business Intelligence (FCBI) and renamed it Reuters Events, thousands of email addresses became invalid overnight when the domain was changed.
Even a technically valid address attached to the wrong person remains bad data. So does a current employee whose job function has no connection with the service being promoted.
B2B contact information has a very limited working life. People change jobs, receive promotions, move departments and leave their employers. Companies restructure, merge, change domains and close. Apollo currently states that B2B data decays at an average rate of around 2.1% each month, equivalent to approximately 22.5% over a year (Apollo). HubSpot cites the same annual rate and reports even higher deterioration for email lists. ZoomInfo currently estimates that email addresses can decay at approximately 43.2% per year.
Most marketing departments buy B2B email data and continue using the same file for months or even years. The file still opens and the rows remain visible, so it continues to be treated as an asset. The people inside it have moved on. It’s a major liability. It still surprises us when clients ask us how many contacts we have in our database for their criteria. We don’t hold data. What’s the point? After a week we would have to revalidate the whole database so we may as well start from scratch. Always fresh.
Freshly sourced data is different from access to a database
Self-service platforms such as Apollo, Lusha, UpLead and ZoomInfo hold very large pre-existing databases. They update, verify and enrich their records through automated systems, data signals, contributors and internal research.
Those systems can be useful when a sales team needs immediate access to a broad market and doesn’t care much about accuracy. If it’s so urgent they might just spray-and-pray and deal with the damage later.

Avoid, like the plague, generic addresses such as info@ and hello@
Addresses such as info@, hello@, admin@, office@, reception@, contact@, support@ and sales@ are shared company mailboxes. They do not identify the person responsible for the decision. A message may be screened by an administrator, distributed to several people, forwarded to the wrong department and most likely ignored among unrelated enquiries. Yet some marketing departments continue to waste their time, and domain reputation, sending emails to the same emails that every spammer targets by scraping the website for email addresses.
Generic addresses also prevent meaningful personalisation. The sender cannot explain why a specific person was selected because no specific person has been identified. And they know that. And it’s now in the bin.
Brevo, for example, classifies role-based addresses (sales@, officelocation@) as a high list-quality risk because they are commonly associated with a group or department rather than an individual. Its guidance also warns that poor contact quality and hard bounces lead to account suspension. (Brevo Help)

Tread very carefully with Gmail, Outlook.com, Yahoo and Hotmail addresses
There is an important distinction between sending email to Gmail or Outlook recipients and using free personal addresses as B2B contact data. The concern arises when an old database associates a personal Gmail, Outlook.com, Yahoo or Hotmail account with a company and job role that may no longer be current.
The mailbox may still work years after the person has changed employer. It may belong to a contractor, a former employee or somebody with no relationship to the company shown in the record.
Some sole traders and small businesses use personal email services for business but it breaches global data privacy regulations to send unsolicited emails to them, unlike B2B email addresses which benefit from the ‘Legitimate Business Interest’ exclusion .
For corporate B2B campaigns, a named address using the employer’s current business domain creates a far stronger connection between the person, company and role.

A replacement cannot undo the damage from an invalid send
Data guarantees are often presented as credits, refunds or replacement contacts. Those remedies arrive after the record has failed.
By that point, the email may already have hard bounced. The bounce remains part of the mailbox and domain’s sending history. A refunded credit cannot remove it, and a replacement record cannot immediately restore a damaged sender reputation. Even a 95% accuracy guarantee means you are sending 5% bouncebacks and that’s domain blacklisting territory.

CRMs accumulate records from website enquiries, event registrations, newsletter forms, sales research, previous suppliers, old campaigns and manual imports. Different teams use different naming conventions. Contacts are duplicated. Job titles expire. Generic addresses remain because nobody wants to delete a company record that might once have been useful. There is a name for it: digital hoarding.

1 – Data quality validation

Where the existing CRM history is useful but the contact fields are incomplete or out of date, B2B contact data enrichment can update names, employers, job titles, email addresses, telephone numbers and other required information.
2 – SMTP handshake verification
PitchKraft also performs SMTP-level email verification.
The system connects to the recipient’s mail server and checks how the server responds to the proposed mailbox without sending the campaign email. A clear rejection indicates that the address should not be used.
SMTP verification has limitations. Some company domains use catch-all configurations that appear to accept email for any possible address. The server may respond positively even when it cannot confirm the individual mailbox.
A catch-all result therefore means that the address remains unconfirmed by a standard technical check. It should receive further research into the person, company domain and likely email structure.

A hard-bounce rate approaching 1% deserves immediate investigation. Allowing the rate to continue rising creates a serious risk to domain reputation, future inbox placement, and your business in general.

1 – Inbox placement testing
An inbox placement test sends your exact campaign copy to a controlled seed list of email accounts which we hold.
The system checks those accounts and reports whether the email reached the primary inbox, a promotions or secondary folder, or the spam folder. This gives you concrete evidence about the proposed campaign before it reaches live prospects.
The test needs to use the actual sender, subject line, email body, links and signature. Testing a plain message and then launching a heavily tracked HTML campaign measures two different emails.
Mailbox providers continue assessing the sender as the campaign progresses. This test provides an early warning when the proposed message or current domain setup is producing poor placement.
2 – Live DNS and authentication auditing
PitchKraft checks the domain’s SPF, DKIM and DMARC records and identifies authentication or alignment problems.
SPF tells receiving servers which systems are authorised to send for the domain. DKIM adds a cryptographic signature that allows the recipient to confirm that the message was authorised and has not been altered. DMARC checks whether the visible From domain aligns with SPF or DKIM and tells receiving providers how failed messages should be handled.
Google requires SPF and DKIM from all senders. Senders delivering a high number of messages a day to accounts must use SPF, DKIM and DMARC. Other mailbox providers apply the same three-part authentication requirement to email senders. (Google Support)
SPF, DKIM and DMARC can break after a mailbox migration, DNS change, new sending platform or domain update. They need regular monitoring.
Authentication does not guarantee inbox placement but missing or failed authentication gives the mailbox provider a quick reason to instantly distrust the message.
3 – Spam simulation and content analysis
PitchKraft analyses the email body for structural characteristics associated with bulk or low-quality marketing email.
These can include excessive HTML, poor text-to-image balance, broken links, multiple redirects, inconsistent sender information, aggressive sales language, unnecessary attachments and repeated technical structures across every message. A spam-content score cannot reproduce the complete decision made by Google, Outlook etc. Those systems also assess the sender’s history, recipient data, IP reputation and engagement. The test can though identify avoidable problems before launch.
4 – Domain and sending-IP health
Your domain may appear clean while the server IP used to send the email has a poor reputation.
This is particularly relevant when using shared mail servers. The visible domain belongs to you, but the outbound IP may also be used by many other customers.
PitchKraft checks sending domains and IP addresses against major public spam databases and blocklists. This helps identify whether the infrastructure has already been associated with abusive or unwanted email.
You can also check this manually. Send a test email from the mailbox to MxToolbox using ping@tools.mxtoolbox.com. The automated reply identifies the outbound SMTP IP and provides a domain and mail-health report. MXToolbox can then test the mail-server IP against more than 100 public DNS-based blacklists. A public blacklist check will not reveal everything. Google and Microsoft operate their own internal filtering and reputation systems, but its an essential step in the process.
Google Postmaster Tools is also a very useful free tool and provides direct information about spam complaints, domain reputation, IP reputation, SPF, DKIM, DMARC and delivery errors for email sent to personal Gmail accounts, provided the sending volume is sufficient for data to appear. The route used to send emails affects reputation, limits, authentication and the risk of account suspension.
A campaign can be sent through an email service provider’s (ESP) built-in servers, a web host’s SMTP service, a third-party SMTP platform or individual mailboxes hosted by, for instance, Microsoft 365 or Google Workspace.
Email service providers such as Brevo and HubSpot
Platforms such as Brevo and HubSpot are designed primarily for permission-based marketing, newsletters and communication with people who have an established relationship with the sender.
They protect shared sending infrastructure aggressively.
Brevo operates a zero-tolerance anti-spam policy and prohibits bought, acquired and scraped lists. It states that non-compliant use can lead to immediate suspension or restriction because the behaviour of one customer can damage shared IPs and domains used by others. (Brevo)
HubSpot can stop or suspend email sending when its protection systems identify excessive hard bounces, spam complaints, blocklisting, abuse reports or poor quality email recipients. Its current published suspension thresholds include a 5% bounce rate and a 0.1% spam-report rate. (HubSpot Knowledge Base)
These platforms can be great for opted-in subscribers. They not going to tolerate a cold email campaign unless the B2B contact email data is guaranteed 100% valid.
The shared mail infrastructure belongs to the platform. It will protect that infrastructure before protecting your campaign.
Basic web-host SMTP
Services provided with hosting packages from companies such as IONOS and Fasthosts are suitable for normal day-to-day business correspondence.
They tend to apply strict rate and volume controls. They also provide less visibility into outbound reputation and deliverability than Microsoft 365 or Google Workspace.
Using basic hosting SMTP for an outreach programme can lead to throttling, rejection or account restrictions. The sender may also have little control over the shared outbound server’s wider reputation.
The fact that SMTP credentials work does not make the service suitable for sustained campaign sending.
Third-party SMTP platforms such as SendGrid
Third-party SMTP services support higher sending volumes and are widely used for transactional and permission-based email.
Lower-cost accounts often use shared IP pools. SendGrid explains that shared-IP users share reputation with hundreds or thousands of other senders, and that the behaviour of those senders can affect delivery. It recommends dedicated IPs where the sender requires greater control, while also warning that a new dedicated IP must be warmed gradually. (SendGrid Support)
A shared IP provides existing sending history, but part of that history belongs to other companies. A dedicated IP removes that dependency and makes the sender fully responsible for building and maintaining its reputation.
Microsoft 365 and Google Workspace
For carefully controlled, individually addressed B2B outreach, DataJi recommends business mailboxes hosted by Microsoft 365 or Google Workspace.
These services provide recognised business-email infrastructure, domain authentication, security controls and native OAuth or API connections. The messages are sent from real, monitored mailboxes capable of receiving replies and continuing conversations.
Microsoft and Google Workspace apply message rate limits, monitors suspicious sending behaviour and can block accounts that generate spam or send too much email too quickly.
DataJi’s operational recommendation is to keep a fully warmed prospecting mailbox to approximately 30 to 50 accurately targeted emails per day. New mailboxes should begin considerably lower. Moving a domain to Microsoft 365
You can keep a domain registered with the original provider while moving the email service to Microsoft 365.
Purchase the required Microsoft 365 business-email licence, add the domain to the Microsoft tenant and follow Microsoft’s verification process. The relevant MX, SPF and DKIM records then need to be added inside the DNS panel. DMARC should be published and monitored once the legitimate sending services have been identified. The precise DNS values must come from the active Microsoft 365 tenant and ESP settings. Example values copied from another domain should never be used.
After inbound and outbound mail has been tested, connect the mailbox to your ESP, i.e. PitchKraft, through the native Microsoft 365 or Outlook connection rather than entering basic SMTP credentials. An OAuth or API connection provides revocable permissions and avoids storing the mailbox password inside the campaign platform.
Multiple domains and mailboxes are the only way to send email outreach campaigns
One mailbox should not send hundreds of prospecting emails a day simply because the campaign contains thousands of contacts. Distribute controlled activity across clearly branded secondary domains, with two or three Microsoft 365 or Google Workspace mailboxes on each domain.
For example, five secondary domains with five mailboxes on each provide 25 sending mailboxes. At 30 to 50 carefully targeted emails per mailbox per day, the campaign can operate at useful scale, sending 750 to 1250 emails per day without forcing one account to produce an abnormal volume. That’s nearly 40,000 B2B emails per month capacity.
Every secondary domain should be recognisably connected with the actual company. If the domain is say AcmeWidgets.com then a secondary domain might be TryAcmeWidgets.com, Acme-Widgets.com, etc. They should have proper SPF, DKIM and DMARC records, a working website or more likely a redirect to AcmeWidgets.com, monitored reply handling, and a clear sender identity.
Replies from every mailbox can be forwarded or synchronised into the main inbox or CRM so that the commercial conversation continues in one place. PitchKraft, Instantly etc provide a ‘Unibox’.
Open and click tracking are far less useful than most marketing dashboards suggest.
Open tracking depends on a hidden image pixel. Privacy tools, image proxies and security systems nowadays load that pixel without the recipient reading the message. Click tracking uses redirected links. Corporate security software can follow and inspect those links before the recipient sees the email, recording an apparent click with no human interest behind it.

Tracking also adds extra technical elements to the message: hidden pixels, redirect domains, rewritten URLs and repeated link structures. Hundreds of emails containing the same tracking domain and destination can strengthen the appearance of a bulk campaign and your deliverability suffers.
For B2B outreach, replies are by far the best performance measure. Positive replies, referrals, meetings and conversions provide actual evidence.
Use your own tracking domain when tracking is unavoidable
Where click tracking is unavoidable, the links should use a custom subdomain belonging to the sender rather than the software provider’s shared tracking domain.
A subdomain such as track.yourdomain.co.uk can be created through a CNAME record in the domain’s DNS provider. The destination value must be copied exactly from the ESP’s current custom tracking-domain settings. Once the DNS record has propagated, add the custom tracking domain in the ESP and complete the verification.
A new domain or mailbox has no established sending history.
Sending hundreds of emails immediately creates an obvious change in behaviour. Mailbox providers such as Google, Apple and Microsoft advise senders to begin at a low volume, send consistently and increase gradually while monitoring server responses, spam rates and domain reputation. They specifically warn against sudden spikes and bursts.
Natural warm-up begins with genuine communication. Send normal business emails to existing and former clients, suppliers, partners and prospects who recognise the company. Ask real questions. Reply to messages. Continue genuine conversations. Share relevant information where there is an established reason to contact the recipient.
A new mailbox might begin with five to ten genuine emails a day, increase to ten or twenty, then move towards thirty. Only move towards the full operating level when the mailbox is receiving healthy replies and showing no signs of throttling or poor placement.
Warm-up should not stop when the campaign begins. Domains stay warm through regular, credible business communication.
The risk of automated warm-up networks
Tools such as Instantly and Warmy use networks of connected mailboxes to simulate engagement.
Instantly describes how accounts inside its warm-up pool send messages to one another, automatically open the messages, generate positive replies and move messages from spam into the inbox. Its advanced settings also simulate reading, mark messages as important and control the proportion of warm-up email rescued from spam. (help.instantly.ai)
These interactions are designed to look like natural human behaviour. They are synthetic.
Automated warm-up can produce short-term improvements, but it also connects the sender’s domain to a wider network over which the sender has limited control. Mailbox providers continually analyse coordinated and automated behaviour and they have these warm-up tools in their cross-hairs. These tools breach the terms and conditions of the mail box providers that they manipulate. If an IP range is caught then your domain, if its within that range, will be banned.
When the warm-up tool sends back fake replies your inbox is cluttered with these auto-generated responses. The warm-up tools manipulate your inbox to move these emails to a subfolder to clear your inbox. The problem is that the ESPs recognise this and identify it as using unlawful warm-up tools.
For an important business domain, genuine communication creates a more durable foundation than simulated conversations between unrelated accounts.
Most marketing agencies still send newsletter-style HTML emails in bulk.
The layout may be polished. The branding, consistent. The call to action may be positioned perfectly above the fold.
When hundreds or thousands of near-identical HTML emails contain the same structure, links, tracking, images, call to action and body logic, mailbox providers receive an obvious bulk email campaign.

Cold B2B outreach should look and read like individual B2B email correspondence. Use plain text or very simple HTML. Keep the message concise, use one clear call to action and remove unnecessary images, buttons, attachments and links. Imagine writing a quick email to a long-term client. That’s how B2B email contact outreach should look.
The email needs to explain why that particular person has been contacted, specifically. Adding a first name and company name to a standard template does not create relevance.

Messages should be sent with controlled, varied delays during sensible business hours. A mailbox releasing emails at exactly the same interval throughout the day produces another visible automation pattern. PitchKraft and Instantly both do this.
The goal is to create and send emails in the way a person would, while using PitchKraft to make that possible across a larger audience.
Watch hard bounces, soft bounces, replies, out-of-office responders, opt-outs, spam complaints, automatic responses, throttling and inbox placement as the campaign progresses. Believe it or not, ‘not interested’ replies should be celebrated. The email arrived in the inbox, they read the email and found it sufficiently interesting to politely tell you that they are not currently interested. Meanwhile the mailbox providers recognise engagement and your deliverability increases.
A sudden increase in hard bounces should pause the campaign. Continuing to send while investigating uses the domain as a testing tool and allows the damage to accumulate.
The same applies when inbox placement deteriorates, authentication begins failing or the provider starts throttling messages. The campaign should resume only when the cause has been identified.
Email deliverability often fails because responsibility is divided between several teams and suppliers.
The data provider supplies a file. The marketing team writes the copy. IT manages DNS. A software platform sends the campaign. Nobody owns the complete result.

Before sending, confirm that the people match the campaign’s ideal customer profile and still hold the stated roles. Remove expired, generic and personal addresses. Apply suppression data and validate the remaining email addresses.
Check the domain’s SPF, DKIM and DMARC records. Run an inbox placement test using the exact campaign copy. Review the sending IP, domain reputation and public blocklist status.
Send through an appropriate business mailbox, preferably Microsoft 365 or Google Workspace for controlled one-to-one-style outreach. Begin at a low volume, build gradually and maintain a consistent daily pattern.
Remove unnecessary tracking, links, images and HTML. Write a unique message explaining why the recipient was selected and why the offer is relevant to their organisation.
Monitor the campaign from the first batch. Stop if the data, domain or placement signals indicate a problem.
Email deliverability is the combined result of all these decisions. There is no single DNS record, warm-up tool or email verifier that can repair a campaign built on inaccurate data and irrelevant content.

B2B email deliverability is the ability to place business outreach in the part of the recipient’s mailbox where it can be seen and acted upon. A message can be technically delivered while being placed in spam, quarantine, promotions or another low-priority folder.
Invalid recipients, spam complaints, sudden volume increases, failed authentication, repetitive bulk content, poor engagement and suspicious sending patterns can all weaken domain reputation.
The effect can continue into later campaigns, including messages sent to accurate contacts.
A 1% hard-bounce rate is a warning that deserves investigation. It may indicate that the list is older or less accurately verified than expected. Continuing to send while the rate increases can damage the mailbox and domain. DataJi recommends pausing any campaign showing an unexplained rise in hard bounces.
Brevo and HubSpot are designed mainly for permission-based marketing and protect their shared sending systems aggressively.
Both platforms can suspend sending when contact quality or recipient behaviour creates a deliverability risk. Check the provider’s acceptable-use rules before importing prospecting data.
Microsoft 365 can support carefully controlled, individually addressed B2B outreach from properly authenticated business mailboxes. Keep volumes conservative, warm mailboxes gradually and monitor the results.
